Q4 2025 brought new capabilities to Graip.AI, transforming how teams interact with information and automate complex workflows. This quarter was dedicated to breaking down data silos, enabling real-time AI learning, and delivering deep, practical integrations that connect Intelligent Document Processing directly to the tools businesses use every day. 

New Features and Improvements 

Email Body Processing. Graip.AI now extends its processing capability to the body text of emails. When an email is forwarded to the system, it converts the plain text into a document preview and extracts structured data such as quantities, prices, and delivery terms. This functionality works for emails with or without attachments, applying the same logic used for PDFs and images to speed up the intake of RFQs and sales requests. 

Smarter CPQ Insights Agent. The Agent has been enhanced to support contextual, multi-turn conversations. It maintains awareness of the discussion thread, allowing users to ask natural follow-up questions without restating details. By building on previous answers, the agent delivers clearer and more efficient analysis for configuration, pricing, and quotation reviews. 

Adaptive Extraction. Users can now provide direct feedback to refine extraction results. Comments can be added to specific fields in the document preview. Clicking Save & Reprocess triggers the model to reprocess the document and return an alternative output. This allows for side-by-side comparison and iterative improvement, enabling the AI to adapt to user preferences without altering system-wide settings. 

Next in Line: Roadmap Preview for Q1 2026 

The Evolution of AI Agents. Building on this quarter’s successful launch of specialized agents, our roadmap is centered on evolving AI Agents into more proactive, interconnected assistants. We are developing frameworks for agents to manage multi-step workflows across systems, share context with one another, and learn from aggregated user interactions. The goal is to move from single-task automation to goal-oriented AI partners that manage entire business processes with greater autonomy and intelligence. 

Human-in-the-Loop Evolution. Extending the foundation of Adaptive Extraction, we are developing more sophisticated feedback mechanisms and configurable approval workflows. This will provide users with even finer control over automation, ensuring high-confidence documents flow through automatically while escalating only the exceptions that need human judgment. 

Expanded Platform Integrations. We are working on deeper, native connectors for a wider range of enterprise systems and data hubs. This initiative moves beyond our existing SharePoint integration. The goal is to embed Graip.AI’s processing intelligence directly into more of the core platforms where teams manage business processes and data. 

Spotlight Use Cases 

This quarter, Graip.AI was deployed to solve complex, high-volume document challenges across industries. Each solution showcases how intelligent automation transforms specific, tedious workflows into optimized processes. 

1. Automated Multi-Platform Invoice Processing for Advertising 

The Challenge: A major advertising partner received PDF invoices from numerous customers, each requiring processing on different procurement platforms (Coupa, Ariba, PayeeCentral, etc.). Manual work involves identifying PO vs. Non-PO invoices, applying customer-specific rules, extracting fields, and uploading via multiple accounts, leading to delays and errors. 
 
The Solution: We implemented an end-to-end workflow in Graip.AI. The system ingests PDFs (via direct upload or forwarded email), automatically classifies and maps each invoice by customer and target platform, extracts all required fields, and exports a perfectly formatted JSON payload ready for each system. 
 
The Outcome: What was a manual task is now a fully automated, exception-only process. Invoices flow from receipt to platform submission with unmatched accuracy and speed. 

2. Invoice Processing with SharePoint Integration 

The Challenge: Finance teams using SharePoint for invoice management faced slow manual uploads, data entry errors, and a lack of integration between document storage and data extraction. 
 
The Solution: We integrated our solution directly with SharePoint. Files uploaded to a designated list are automatically captured, processed, and validated against master data in SharePoint. Results are synced back via API in structured JSON, with a configurable human-in-the-loop step for control. 
 
The Outcome: Teams process invoices without leaving SharePoint, gaining full visibility and control. The workflow ensures data accuracy, eliminates manual handling, and accelerates the entire accounting cycle with complete transparency. 

3. Purchase Order Reconciliation Agent 

The Challenge: Procurement teams spent hours manually comparing internal Purchase Orders with customer-submitted POs, checking for discrepancies in quantities, prices, and delivery details. 
 
The Solution: The Purchase Order Reconciliation Agent automates the entire comparison. Users forward an email with both POs and the agent analyzes them line-by-line, identifies mismatches (even accounting for regional sizing differences), and drafts a clear clarification email using a predefined template. 
 
The Outcome: Reconciliation time is cut from hours to minutes. The agent ensures 100% accuracy in discrepancy detection, speeds up customer communication, and automatically updates records once issues are resolved. 

4. Multi-Template Order Processing for Global Retail 

The Challenge: A global retailer received large, mixed-content order files containing various product categories, layouts, and regional sizing systems. Manual separation and reformatting are a slow process that introduces significant risk of errors. 
 
The Solution: The Multi-Template Order Processing Agent handles this complexity. It ingests a single file (even a photo), extracts item details, classifies each line by product category, and routes the data into the correct template, all while standardizing regional size notations. 
 
The Outcome: Mixed orders are processed in a single step. The system ensures accurate categorization and consistent data formatting, dramatically reducing processing time and eliminating manual reformatting errors for global teams.
